Before you start

Welcome to Helpicoach online help! Before you start, download the application and open it.
Apple will ask you for some information that will allow Helpicoach to know if the data should be kept or not depending on the choice you make after 1 month of free use. Once you have filled in all the required information, you can start using Helpicoach with the first step, which will be guided on the screen, of creating your first client, following his subscription…

Create a customer

In the “my customers” tab at the bottom of the screen. Press on “+”.
There are mandatory fields to fill in first, personal information can be filled in when you wish.
For a clear invoicing, it is important to choose correctly who you invoice, a company or a private individual. This question will be asked to your customer who will then give you the invoicing information you need, including the VAT number for companies.

Create a subscription

In the subscription tab, press “+” and follow the procedure by completing the fields. Nothing could be simpler, this is your business.

Fill in the agenda

In the “agenda” tab, nothing could be simpler than to plan the times and days when your clients will have an appointment with you.
Schedule a training session, then in order select the client previously encoded and linked to a subscription.
Choose the date and time, by default the time displayed will be the current time when you plan the session with your client.
The period will propose you to recurrently display the number of sessions of the chosen client, in a weekly way.
Do not forget to validate.
The agenda can be synchronized with the one you use on your phone, iCal or google calendar.
A notification will be sent to you for each appointment. You will be able to validate the notification so that the session is directly incremented without having to open your application.

Complete your professional file

The coach’s data is important for correct invoicing and for you to get paid.
The personal information, first and last name, will be included in your invoice as a freelancer.
In contact, it will be the means to call you or write you a message.
If you are a freelancer or a company, the address of one or the other will be the default address. The personal address will not be included unless it matches your billing information.
If you are a paramedical professional, checking this box will make it impossible to enter notes of any kind, to protect you and your clients from any misuse or hacking of data. You can refer to the GDPR and the TOS of the application which can be read in the settings or at registration.

Adding a subscription to your customer

Once your customer and your subscription are created, it is easy to link the two.
In the “my customers” tab, simply drag the rectangle on which your customer is displayed to see 2 or 3 icons appear (depending on whether or not you have already linked a subscription to your customer). Select the first icon which will lead you to choose the subscription you want to link to your client.
Once the subscription has been linked, Helpicoach will inform you that the process has started. All you have to do is to increment the sessions when your client attends the session.

Managing client subscriptions

Once your client’s subscription has been added, at your next appointment you can either confirm the notification or scan from right to left over your client’s name to see “+1”.
By pressing “+1”, a session will be incremented to your client’s subscription.

As long as the subscription is active and of course valid, the circle around the photo will be green.
When the circle is orange, your client has one session left.
When the circle is red, the subscription is over, it is the last session.

You can also see on the line of your client, a coloured dot, which mentions different things: Not paid, paid, paid in cash…
From there, and after having checked if your client has paid his subscription.
If the invoice is not paid, by scanning from left to right on the name of your customer, you will find different icons.
The credit card, to indicate the payment status.
The pencil on a note plate, to write a note about the customer like holidays or other…
A file with lines, which will take you directly to the current subscriptions page of your customer.

From this screen you can generate the invoice.

Create an invoice

You can generate an invoice whenever you want. At the beginning of a subscription or during a subscription.
To generate it, you just have to go to the customer file and then to subscriptions.
Be careful beforehand, to have put in your parameters the number of your last invoice.
You will be assisted in validating your invoice and avoiding errors.

The statistics function

This function allows you to monitor your earnings, according to the means of payment and whether the subscriptions are in progress or completed.
